Administrative Assistant 

Reporting to the Dean of the School of Nursing and Health Sciences, this role supports the Deans through a variety of tasks related to organization and communication.  The Administrative assistant will also be responsible for supporting the School of Nursing and Health Sciences through a wide variety of administrative, clerical, and customer service responsibilities. requiring coordination of activities with the University, clinical affiliates, professional agencies, and the community.

Responsibilities (not all inclusive)

  • Maintain and manage student compliances and faculty payroll.  
  • Maintains and monitors compliance and immunization records for the traditional undergraduate program using online software.  
  • Maintains constant communication with students. Responsible for the accuracy and organization of student electronic files.  
  • Generate weekly Compliance Reports to Administration, course Coordinators and faculty for their review.
  • Provides student documents, such as vaccinations, to Clinical Coordinator for distribution to clinical sites prior to student beginning clinical. 
  • Processing both Nursing and Radiologic faculty adjunct contracts.
  • Submit payroll to the Academic Affairs Department for both full-time, and part-time faculty.  
  • Assist in completing required documentation by the Human Resource for adjunct faculty working outside PA
  • Possess excellent interpersonal skills, good moral and a sense of ethics.
  • Possess strong time management and organizational skills.
  • Ability to meet deadlines in a timely manner.
  • Assist the Clinical Coordinator in downloading the required student clearances for our clinical site educator.
  • Process due invoices to our Accounts Payable Department on behalf of the Radiologic of Science program.
  • Order office supplies when needed for the Radiologic Science program.
  • Other duties as assigned by the Dean, Associate Dean, and the Clinical Coordinator.

Qualifications

  • High School Diploma required, or 3+ years of prior experience in risk management or compliance roles, or administrative assistant role.

Required Knowledge, Skills and Abilities

  • Knowledge of and ability to follow university policies and procedures. 
  • Ability to establish and maintain effective working relationships with the campus community.

  • Proficient in using Microsoft Outlook, Excel, PowerPoint, Word, and Adobe.

  • Strong planning, organizational, and analytical skills.
