Assistant Registrar for Academic Services 

The Assistant Registrar for Academic Services and Registration, reporting to Registrar, works collegially with members of administrative units within the University; ensures the accuracy and integrity of registration processes, commencement and graduation processes, processes and coordinates registration of external consortia, coordinates term enrollment certifications, and final grade processing.

Essential Duties and Responsibilities

  • Coordinates accurate compilation and filing of the scheduled enrollment and graduation data to the National Student Clearinghouse.
  • Serves as back up to the Registrar
  • Serves as the point person in the office for scheduling.
  • Works with internal/external stakeholders to process unique registrations (e.g. OCICU, SEPCHE, KTA, etc.). Establishes communication workflows to students, faculty and staff.
  • Responds to calls and walk inquiries from students, faculty and staff concerning college policies and procedures relating to records, registration, scheduling, and other university matters. 
  • Assists in processing student registrations, add/drop requests, withdrawals and grade changes.
  • Works closely with the Registrar and other stakeholders to facilitate registration planning and services for students.
  • Coordinates updates and corrections in Ellucian Colleague (e.g. programs, etc.) for NSC and as needed.
  • Compiles and generates required reports from SSRS.
  • Coordinates the semesterly course enrollment certification with students and faculty.
  • Coordinates the end of term grade submission.
  • Serves as the point resource for front desk staff.

Required Knowledge, Skills and Abilities

  • Demonstrated organizational skills and attention to detail are required.  
  • This position requires work with calendars, dates, and numbers with extreme accuracy.  
  • The ability to coordinate multi-faceted projects using Microsoft Word, Excel, and other software applications is necessary.  
  • The Assistant Registrar must be able to communicate effectively and work cooperatively with academic and administrative colleagues throughout the University.


  • A Bachelor’s degree is required.
  • Experience in higher education administration software is preferred.
