Events with Alcohol
Overview
Holy Family University is committed to promoting the personal responsibility and respect for the well-being of self and peers. The Events with Alcohol Policy seeks to care and support the University community by establishing guidelines for the legal and responsible use of alcoholic beverages at University events hosted and attended by students, faculty, staff, alumni, and the general public.
Alcohol is permitted at University-sponsored events hosted by faculty and staff, and non-University-sponsored events hosted by external groups. Alcohol is not permitted at events hosted by registered student organizations.
Guidelines for Serving Alcoholic Beverages
The following guidelines apply to any event held on University property:
- For all University-sponsored events where alcohol is to be served, faculty and staff must seek approval at least six weeks prior to the event date from the senior leader of their area (e.g., Dean of a School or Vice President of an administrative unit) and the Vice President for Finance and Administration using the Alcohol Request Form.
- For non-University sponsored events hosted by external groups, approval will be handled by the Director of Events and Meeting Services.
- For events where alcoholic beverages will be sold for fundraising purposes, a “Special Occasion Permit” must be obtained by the event sponsor at least 30 days prior to the event date through the Pennsylvania Liquor Control Board.
- Beer and wine are the only alcoholic beverages permitted to be served at events. Only cans and bottles of beer should be served. Kegs are not permitted without prior approval from the Vice President for Finance and Administration. Non-alcoholic beverages and food items must be available at all events where alcohol is available.
- It is unlawful to sell, furnish or provide alcohol to a person under the age of 21.
- Event sponsors must remain in attendance for the duration of the event. It is the responsibility of the person(s) serving alcoholic beverages to determine the age of the recipient.
- No alcoholic beverages may be served to a person who appears to be intoxicated.
- Training for Intervention Procedures (TIPS)-trained servers are required for all events with 15 or more guests in attendance, and for all events, regardless of the number of guests, where the general public is invited or are hosted by external groups. One TIPS-trained server is required for every 50 people in attendance.
- TIPS-trained servers are to be hired and managed by Holy Family Dining Services, and event sponsors will be charged for their service. TIPS-trained servers must be requested by the event sponsor at least four weeks prior to the event date using the Event Set-Up Form.
- As Holy Family Dining Services has a “right of first refusal” for the use of its services on campus, an outside provider may only be contracted if Dinning Services is unable to provide the requested service. In addition to a written waiver from Dining Services, approval to use an outside provider must be received from the Vice President for Finance and Administration. The outside provider must use TIPS-trained servers and provide a certificate of insurance, naming Holy Family University as the certificate holder, with a minimum policy limit of $2,000,000 general aggregate and $1,000,000 per occurrence.
- Event sponsors are responsible for purchasing all alcoholic beverages for their events using a University-issued Purchasing Card. Alcoholic beverages purchased with personal funds will not be reimbursed by the University. All alcoholic beverages must be purchased in Pennsylvania.
- Following an University-sponsored event, any leftover alcoholic beverages will be retained by Holy Family Dining Services for use at other University-sponsored events. If an outside provider is used in place of Dining Services, the event sponsor is responsible for securing any leftover alcoholic beverages until they can be delivered to Dining Services.
- Persons, organizations or groups possessing, using, distributing, or selling alcoholic beverages in violation of this Policy or in violation of local and state laws will be referred for appropriate University discipline and/or law enforcement.
