Position Summary
The Project Manager for Marketing and Communications is responsible for overseeing and executing a variety of projects within the department, ensuring timely completion, alignment with university goals, and efficient resource allocation. This individual will manage multiple types of initiatives, from various marketing campaigns to team-based projects, branding and design in facilities, and financial management while also providing key administrative and operational support to the Vice President of Marketing and Communications.

Essential Functions

1. Project Planning – 35%
- Lead the planning, coordination, and execution of marketing and communications projects, including large meetings, activities and internal communications.
- Develop strategic, detailed plans and timelines (where necessary) for both short-term and long-term university marketing goals and projects, ensuring they align with the university’s mission and vision.
- Maintain strong communication with internal and external stakeholders, ensuring they are kept informed of project status and changes.
- Standardize communication processes to promote transparency and minimize disruption.
- Partner with leadership to harmonize policies, procedures, and systems across the University.
2. Team Support & Management – 25%
- Serve as a liaison between the team and other departments to ensure smooth communication and project completion.
- Proactively address and remove barriers by managing timelines and scope creep, identifying and maintaining focus on priorities, ensuring project participants can focus on delivering high-quality work without disruption.
- Facilitate team meetings, providing regular project updates and troubleshooting any roadblocks, and cross-functional meetings, ensuring alignment on goals, timelines, dependencies, and deliverables.
- Assist team with tasks during periods of high volume to meet deadlines for campaigns, events and other initiatives.
- Support task execution such as website updates, content creation, project asset management during periods of high volume.
3. Executive Support to the VP of Marketing and Communications – 35%
- Serve as the key support partner to the Vice President, providing day-to-day assistance with scheduling, prioritizing tasks, and managing communications.
- Support senior leadership to help prioritize initiatives and tasks to ensure alignment across the team.
- Prepare and organize reports, presentations, and other materials for internal and external stakeholders.
- Assist in tracking the department’s budgets, ensuring resources are allocated effectively, accurately, and within scope.
Non-Essential Duties/Responsibilities

Education & Experience Requirements
- 5-7 years of project management experience, preferably in a higher education or marketing environment with a strong understanding of marketing and communications strategies and processes.
- Proven ability to manage multiple projects simultaneously, including complex projects with multiple stakeholders and competing priorities.
- Excellent communication and interpersonal skills, with the ability to interact effectively with senior leadership, staff, faculty, and external stakeholders.
- Ability to work independently and take initiative while supporting a collaborative team environment.
- Strong analytical and problem-solving skills.
- Highly organized with the ability to see/understand both the big picture and details.
- Proven business judgement including knowing when to decide vs. escalate.
- Experience supporting senior executives, with an ability to maintain confidentiality and exercise discretion.
- Experience providing support to different marketing functions, including content creation, campaign execution and brand management.
Knowledge, Skills and Abilities
- Knowledge of, and ability to follow, university policies and procedures.
- Ability to establish and maintain effective working relationships with the campus community.
Work Environment
Operates in an office environment that may have frequent interruptions. The area is well-lit, temperature controlled and free from hazards. Noise level is generally quiet to moderate.
Physical Requirements
Communicates frequently, in person, over the phone, or via a computer. Hearing is needed for extensive telephone and in-person communication. Regularly required to sit for long periods of time; use hands to finger, handle or feel; reach with hands and arms. Manual dexterity is needed to operate a computer keyboard. Operates standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

- Willing to travel as needed.
- Willing at times to work evenings or weekends.
